One where the owner, the accountant, the assistant, the external auditor and the end client each see and do different things has considerably more surface, especially when permissions are resource-level rather than generic roles.

The cost that is not in the budget
An electronic invoicing system is not finished the day it is delivered. SRI regulations change, and when they do the system has to be adapted. In January 2026, for example, receipt transmission became immediate and removed the previous four-business-day window, forcing changes to systems that had been working fine. It is worth agreeing who absorbs that work, and under what arrangement, before signing.

To compare budgets across providers on equal terms, bring these five facts to every meeting:
- How many receipts the company issues per month.
- How many distinct roles will use the system and what each one can do.
- Which current systems have to keep working and whether they have an API.
- Which internal processes are non-negotiable and which can be adapted.
- Whether there is historical data to migrate and in what format.
With that, any serious provider can give you a real range instead of an invented number. And if someone quotes without asking any of this, the number will change later.

- No. The electronic signature certificate is issued by an accredited certification authority and is contracted separately, in the taxpayer's name. The development integrates that certificate but does not provide it.
- Why is that range lower than a traditional ERP?
- Because it is not built from scratch. The components handling XML signing, transmission to the SRI and the multi-client structure are already built and tested in previous projects, so the project starts from a working base.
- How much does maintenance cost afterwards?
- It is quoted separately on a monthly basis, because it depends on the size of the system and how many regulatory changes have to be absorbed. It is worth defining it in the initial contract rather than after delivery.
- Is it better to build or buy an existing product?
